In the autumn of 2019 we were asked to re-quote a 3×4 metre manual louvre pergola that a European distributor had already priced with three other suppliers. The four quotations ranged from roughly 380 to 620 USD per unit, FOB. The distributor assumed the cheapest and the most expensive described the same product. They did not. This guide is the checklist we built after that case.
1. Post and beam profile dimensions. A 100×100 mm post and a 120×120 mm post are not the same structure, even if the rendered image looks identical. Ask for wall thickness too. A 2.0 mm wall and a 1.2 mm wall behave very differently once the roof carries rain load.
2. Louvre blade specification. Blade width, spacing and the pivot mechanism define the roof. Some quotations price a fixed-look blade system; others include an adjustable louvre with a crank or motor. If the quotation does not say how the roof moves, it is not finished.
3. Surface treatment. Powder coating quality spans a huge range. Ask whether the coating is a standard interior-grade finish or a polyester outdoor system, and whether it is applied over a pre-treated aluminium surface. For coastal destinations this is not a detail. It is the product.
4. Hardware and fasteners. Stainless steel versus zinc-plated hardware can be a few dollars per unit at the factory and a corrosion claim two winters later. Ask what every exposed fastener is made of.
5. Packing. Pergolas ship as long, awkward cartons. Ask for the packing method, the carton specification, and the number of units per container. A quotation with cheaper unit prices but 20 percent fewer units per 40HQ can be more expensive landed.
6. What is excluded. Gutter systems, end caps, LED channels, anchor bolts and assembly manuals are often excluded. Collect the exclusion list from every supplier. The cheapest quotation usually has the longest one.
7. Documentation. Ask which drawings, assembly instructions and compliance documents come with the shipment. Available documentation depends on the selected product and destination market, but a serious supplier should be able to tell you what exists before you order.
When we receive an incomplete enquiry, we do not guess. We send back the questions above and quote against the confirmed answers, marking anything still open. It costs us some quick wins. It also means that when our number lands mid-table, the buyer knows exactly what they are paying for.

Never rank pergola quotations by unit price alone. Align profile dimensions, louvre operation, coating system, hardware, packing and exclusions first. Then, and only then, compare the numbers.
