Start with the target market and buyer type. A distributor building a repeat range needs different information from a hotel specifying one property. Name the product category, intended application and approximate quantity, then describe the desired price and quality position in plain language. If there is a reference product, explain which details matter instead of sending a photograph with no comment.
List the decisions that can change cost: size, material, finish, fabric, operation, branding, packaging and accessories. Separate requirements from preferences. A mandatory colour match should not sit beside an optional handle idea with the same weight. Include any document or compliance expectation that must be reviewed before the product can enter the intended market.
Provide the required arrival window, destination port and current project stage. A request made during early range research can allow sample development; a confirmed opening date may require standard options and faster decisions. Mention whether several categories could ship together and who will install or assemble them. Finally, nominate one person to consolidate questions and approvals so revisions do not arrive through conflicting channels.
