Late in 2022, a distributor preparing a spring launch came to us with a brief that is common in ambition and tricky in detail: a private-label patio umbrella range under their own brand, two frame families, three canopy colours, custom branding, and everything fitting into a volume that made sense for a first season.
This is the kind of project where suppliers either ask good questions early or create expensive problems late. Here is how we worked through it.
The buyer had mood boards and a target retail price, but not yet a specification. We spent the first exchanges translating the brief into decisions:
The buyer ordered a physical sample of each family. The samples served two purposes: retail photography for their launch, and a signed-off reference for production. We documented the approved reference with photos and measurements, so that pre-shipment inspection had something concrete to check against. Three colours across two families across multiple base options could easily become a loading nightmare. We prepared a loading plan before production: carton counts and volumes per SKU, heavy base cartons placed as the floor layer, canopy and pole bundles nested above. The final load left the port as one mixed container with a packing list the buyer's warehouse could unpack SKU by SKU without repalletising.
A launch-ready range under their own brand, ordered at a volume appropriate for testing the market, with a documented quality reference for reorders. When a range sells, the second order is faster, cheaper per unit, and checked against the same approved reference.
